R4+ v8.1.3 Product Release Notes

The following is a list of enhancements included and issues addressed in R4+ Version 8.1.3. All fixes are cumulative (each new release contains all new fixes as well as all fixes from the previous release).

New Features in R4+ v8.1.3

The following is a list of enhancements included in R4+ v8.1.3.

NHS England CCN 43 – Support for Triage data capture in FP170 and FP17(O) Claims and introduction of Triage only Claims

R4+ v8.1.3 introduces new optional Triage data capture for FP17 and FP17(O) Claims as well as a new Triage Only Claim type effective from 30th November 2020. The new ‘Triage’ optional tab will be accessible on Claims with the new ‘Triage only’ plan group option being available on the Course creation windows from the given date (triage courses should remain empty when closed to be considered valid by the board for the time being).

EDI Search and NHS Activity reports have also been updated to handle the new Claim Type and Band 6 for any reporting needs.

NHS England, Wales & Isle of Man - Ability to specify Automatic Extension to NHS Contracts for the following year

R4+ v8.1.3 provides a New Option “Auto Extend” which is available when creating a New Contract or editing an existing Contract, where set on a Contract it will Automatically extend for the following 12 months at the end of the Active Period, Users will still be warned in the 28 Days leading up to the Periods End to allow for Manual Extension first.

NHS Scotland eOrtho – Ability to define Planned Extractions in suitable FP17(O) Claims

R4+ v8.1.3 provides a change to allow Users to indicate any planned Tooth Extractions as part of any Prior Approval, Examination, Final Payment or Discontinuation Fee Request Orthodontic claims without specifying Extractions as part of the patients Course of Treatment. This helps indicate Extractions that are intended, but not being undertaken at the current Clinic as part of the Claim.

Clinical Chart – New Note Templates for ACORN Routine & Urgent Assessments

R4+ v8.1.3 introduces New Default Templates for Recording either a Routine or Urgent Assessment, these can be altered, assigned to treatment codes or used as required via free text input and are located under the Template Manager ‘Clinical Exams’ Category.

Report Manager – Practice Occupancy Report option to include DNA Appointments in the Chair Occupancy Percentage

R4+ v8.1.3 introduces a new option to the Practice Occupancy Report criteria to allow the inclusion of DNA appointments in the Practice Chair Occupancy Percentage. It was felt by some users that while the Chair would be technically empty the situations where DNA occurs may not allow enough time for the chair to be filled normally so the DNA should still be counted, by default this will continue to be excluded by default so not to effect existing users of this report, but this option will allow their inclusion at the users discretion

Customer-Reported Defects Fixed in R4+ v8.1.3

The following is a list of issues addressed in R4+ v8.1.3.

NHS England CCN 35 – Ortho Claims involving under 18 then over 18 at Completion or 18 in FTE when over 19 at Completion fail due to Exemption handling

A defect which would result in an invalid combination of active exemption and acceptance dates based on a Patient’s Date of Birth in the transmitted claim resulting in COMPASS rejected as ‘Inappropriate Treatment Code’ has been fixed in R4+ v8.1.3.

NHS Wales CCN 38 – Claim involving Exams are being Rejected with Inappropriate Treatment Code

A defect where some claims were including both English and Welsh Examinations when Transmitted would result in Rejection with ‘Inappropriate Treatment Code’ responses have been corrected for new claims as well as correcting all exists claims in this state, please resubmit all affected claims as soon as possible, this has been fixed in R4+ v8.1.3.

NHS Wales CCN 38 – Clinical Dataset Cache Error when Closing Courses or Viewing Claims

A defect which displays an error regarding ‘GetCDSItem – failed to find item 30’ when closing any NHS Courses of Treatment affecting some customers was resolved in v8.1.2 we have now added further protective changes to ensure this situation no longer occurs for any customers, this has been fixed in R4+ v8.1.3.

NHS Wales - Overflow error accessing Patients Medicals with a Historic OHR

A defect which resulted in an Overflow error when accessing a Patient’s Medical Tab has been fixed in R4+ v8.1.3.

NHS Scotland eOrtho – Setting that a Course of Treatment has a Paper Approval produces a malformed Claim failing Transmission

A defect where if a course of treatment is created marking it as ‘Course has a paper approval’ then the resulting Prior Approval claim is generated, and the Date of Approval set the created claim for Transmission is malformed so cannot be sent. Claims stuck in this state should have new submission generated and this then sent to encode correctly, this has been fixed in R4+ v8.1.3.

NHS Scotland eOrtho – Discontinued Treatment being included in Final Payment Claims

A defect where once a discontinuation is authorized the affected treatment is deleted and replaced with the authorized adjustment fee, but the removed treatment was still being included in the Final Payment claim, this has been fixed in R4+ v8.1.3.

NHS Scotland eDental - Change to encoding behaviour for 80xx Series Codes

A defect where certain 80xx Series DPB Codes should behave differently to all other SDR codes under eDental where usually multiple use is aggregated to a single quantity qualifier to keep the DPB Code instance unique within the claim, instead for these codes each use must instead be encoded as a separate instance and separate qualifier, this has been fixed in R4+ v8.1.3.

NHS Scotland – Treatment Completed Dates will now Track Separately to Treatment Proposed Date

A defect where Proposed Treatment is Completed on a later date as part of an ongoing Course of Treatment it would only record the Proposal Date rather than the Date of Completion, this has been fixed in R4+ v8.1.3.

Family Groups – Adding Current Patients to a Group deletes their Address

A defect which resulted in a warning and then deletion of a patients existing address when they are added to a patient group requiring the user to re add an address to the patient, this has been fixed in R4+ v8.1.3.

SMS Appointment Reminders do not remind for days with Partial Closures

A defect resulted in no Appointment Reminders being sent for valid Appointments on days with partial closures active, a new option has also been added to the Scheduled Task edit window to allow inclusion of Appointments that fall outside of working hours if required, this has been fixed in R4+ v8.1.3.

Multiple Different SMS Messages Sent to the same Patient and Mobile Number are not being received

Working with our Approved SMS Vendor Healthcare Communications we have identified that some SMS messages would be perceived by their system as unintentional duplicates and were subsequently being automatically deleted before being sent to the target patient.

We have made changes to the format of transmitted Instant Send SMS Messages to help Healthcare Communications avoid this situation and ensure any sent SMS messages sent by a site to their patients will get through, this has been fixed in R4+ v8.1.3.

SMS Reminder Responses – Import Error when a Response Message includes an Apostrophe

A defect where if a patient responded to any SMS Message with apostrophes would result in that response not being processed updating the affected appointment reminder and recording the response in the audit logs, this has been fixed in CS R4+ v8.1.3.

Appointment Planner – Weekly View appointments with Patients whose Scheme is Associated to System Type 3 (Community Health) or Where Duplicate Patient Groups exist errors

A defect which would result in an ‘invalid procedure call or argument’ error being displayed if appointments are viewed in the Weekly Overview due to either duplicate Patient Groups existing or a Patients Scheme being assigned to System Type 3 has been fixed in R4+ v8.1.3.

Clinical Chart – Tooth Missing & Movement followed by a Bridge picks up incorrect amount of teeth

A defect which results in the wrong number of tooth positions being reported on a Bridge due to Teeth being Missing or Extracted and adjacent Tooth Movements has been fixed in R4+ v8.1.3.

Clinical Chart – Child Patient Mouth image can display unexpected gaps between Deciduous and Permanent notations where an Extraction is Performed

A defect which resulted in an unexpected tooth gap where extraction treatment is applied to a deciduous notation is incorrectly shown as on the Permanent Notation, this has been fixed in R4+ v8.1.3.

Clinical Chart – Overriding a Patient’s Recare period at Course Completion is not saved

A defect which resulted in an overridden recare period not being saved at Course completed meaning a Patients recall interval would not result an appointment where expected, this has been fixed in R4+ v8.1.3.

Clinical Chart – Incomplete Warning message when editing Treatment Item Prices governed by a Price List

A defect where a minimum price is set as 0.00 and the user attempts to edit it below the minimum value then the user is warned the price is below the minimum value, but doesn’t show what the minimum value is has been fixed in R4+ v8.1.3.

Treatment Tab – Treatment Code Invalid warning when Completing a Course of Treatment with a Code Added or Modified earlier on the same day

A defect which resulted in an invalidation warning being shown to the user if they attempted to complete a course of treatment via the patients treatment tab and the course contained treatment that had been added or amended on the same day, this has been fixed in R4+ v8.1.3.

Payment Allocation – Group Head Transfer does not get applied when changing a Family Groups Head

A defect which would result in any outstanding charges held on the Group Head for Patients in a Family Group was not being transferred if the Head Member was changed meaning those charges had to be manually Settled and Recreated between Patients, any present where a Head is changed will now automatically be Transferred, this has been fixed in CS R4+ v8.1.3.

Payment Allocation – Catchup Routine doesn't pick up Allocations to Dependents (ex-dependents) when the Head Recalculates their Allocations

A defect which would result in some Payment Allocation Transactions going missing in situations where a Recalculation is required, this has been fixed in R4+ v8.1.3.

NHS Activity Report – Search of Activity Performed by a Specific User across All Clinics return no Results in a Multi-clinic environment

A defect where if you search for activity performed by a specific user at any clinic other than the ‘All Clinics’ or the users home clinic then no results would be returned has been fixed in R4+ v8.1.3.

NHS Contract Overview – UDA Claim values can show erroneously against Scheduled UOA’s

A defect which resulted in UDA Contract Activity Units being shown against UOA, but identified as No of Claims would be inconsistent has been fixed in R4+ v8.1.3.

Patient Record – Tab Characters in Patient Detail fields causing Search issues

A defect which result in some patient records not showing in a patient search result were found to be caused by control characters so are now filtered out to ensure accurate results are returned, this has been fixed in R4+ v8.1.3.

Patient Record – Closing the window with No Patient Selected R4+ becomes unresponsive

A defect which would result in R4+ not displaying on screen, but is still running if a user loads the Patient Record window and closes R4 without loading a Patient, this has been fixed in R4+ v8.1.3.

Default Opening Hours – Appointment Slot Length displays incorrectly after Saving Changes

A defect which resulted in the default appt slot length displaying a different value to the one saved for a user’s opening hours, this has been fixed in R4+ v8.1.3.

EDI Settings – Last Claim Number field should not allow editing beyond 6 digits

A defect where if users edited the Last Claim Number in the EDI Settings window beyond 6 digits in length  then the next claim would exist in an unexpected number range causing any future claims to be processed incorrectly causing the board to perceive them as duplicates and responses missed entirely, the field will now only allow editing within the expected range, this has been fixed in R4+ v8.1.3.

R4+ DB Upgrade Step 508 can fail if Rerun due to being previously Missed

A defect which would error if DB Upgrade Step 508 was rerun for any reason has been fixed in R4+ v8.1.3.

R4+ API Service – Site Check for Remote Update generating too much traffic against the Central Data API

A defect which resulted in the Central Production API being overloaded due to the short periodic check from all participating sites was affecting the API’s ability to respond. This Periodic check has been extended and randomized to help offset any future potential overload, this has been fixed in R4+ v8.1.3.

R4+ Upgrade Process Improvements to Reduce Windows Nonresponsive States

A defect which would result in the upgrade Progress Bar becoming unresponsive if interacted with during an upgrade which could then result in Windows assuming the Process has crashed has been improved.

If interacting with the dialogue you may still momentary nonresponsive pauses where the Background Process has not yet finished before being able to respond to Windows, but it now will recover showing the Progress Bar correctly in R4+ v8.1.3.
