127 new NHS Discretionary Codes have been added
When a patient under 25 or over 60 they are eligible for free examinations however any additional treatment that is included on the same course of treatment which is marked as under guarantee is being rejected due to the presence of the free examination exemption.
We have fixed this so when this scenario is detected we will automatically omit the free examination exemption code from the encoded claim so it is no longer rejected as per NHS supplied guidance.
Where a claim is sent with the combination of the “Continuation of Treatment” flag due to falling within the further treatment within 2 months rule and the patient also being HC3 exempt this resulted in a rejection by the board, after discussion with the NHS we will omit the HC3 exemption from the encoded claim in this situation to ensure that it is now processed successfully.
If a claim has the “Referred to another provider for advanced mandatory services” option ticked then the claim would be rejected if the course was accepted after specific dates, we have made changes so if a claim is detected with an acceptance date past the above dates then the option is no longer available on the claim window.
Some claims have previously been rejected due to the presence of invalid characters being present in the NHS number field in R4, to allow claims to be processed when a claim is encoded we will strip invalid characters from the claim to ensure it is processed successfully.
Some claims have previously been rejected due to the presence of invalid characters or being less than 2 characters long, we have made changes so if invalid characters are detected these will be stripped out of the encoded claim and if the resulting surname is less than 2 characters then the tag is omitted from the claim entirely thus ensuring the claim will now be processed successfully.
Previously if a new submission was created for an existing claim then the “Replace Scheduled Claim” option would be automatically ticked this could result in some claims being rejected in situations where the original claim was already rejected or deleted.
We have made changes so this option is no longer ticked by default for new submissions unless the original claim still contains a status of ‘Sent’ in which case we cannot assume the board has processed the claim to specify its replacement.
If processing a claim response file while logged into a site other than the site which produced the originally submitted claim would result in the claim date field
not being updated even through the claim has been processed, this has now been fixed.
Previously the Clinicians Assessment under certain circumstances could miscalculate the number of teeth present in the mouth, this has now been fixed.
Due to how the captured signature is generated when printed this could result in the signature appearing cropped between the printed and on-screen forms, we have made changes so the captured signature will now be fully visible when viewed digitally or in a printed copy.
Please note all existing historical signature captures will benefit by this change as it is only the display and print behaviour that is affected, the original signature captures are stored complete and remain unaffected by this change.
A new setting has been added as part of the existing super user functionality to allow sites to restrict all clinical users ability to automatically complete treatment through either the Clinical Chart or Treatment Tab, this restriction can be enabled on a per clinic basis as required and is only available upon request.
A new setting has been added to allow auditing of users accessing patient information, this restriction can be enabled on a per database basis as required and is only available upon request:
When any user opens any patient record tabs.
When any user views a patient’s clinical chart.
When any user views a patient’s medical record.
