NHS Scotland - eDental Community Dental Codes Issues Addressed

Several issues have recently been identified affecting the use of CDS Codes under the eDental System, we have addressed all issues allowing for CDS Codes to be specified and transmitted from the Payment Claim as needed.

NOTE: We have restricted CDS usage to only the payment claims CDS tab instead of allowing codes to be charted in the Treatment Plan, in-tandem with the values specified in the claim window this avoids duplication of transmitted data.

NHS Scotland – eDental PA Re-Approval Triggered when Prices are updated to match the Portal Approved PA

An issue has been identified in the Beta Trade Trial where a Prior Approval has been sought via the PCFS Web Portal and granted providing a list of approved fees, when the user returns to the claim in CS R4+ and updates the claim with status from the Portal they then would edit the course treatment to match the approved fees before completing and submitting it’s final payment claim the same way as when an approval was provided on paper.

This scenario however would trigger an eDental Re-Approval forcing the claim into a Not Ready state, this is not allowed where the prior approval exists outside of CS R4+ as we cannot resubmit the same claim, this trapped the user by being unable to resubmit the PA, but likewise unable to complete treatment due to the presence of an outstanding Prior Approval request.

This has now been addressed so after updating a Portal redirected Prior Approval it will no longer trigger an unexpected Re-Approval when updating the treatment pricing.

NHS Scotland – eDental Prior Approval adjustment to Sedationist Validation

Based on feedback received in the Beta Trade Trial the validation applied to a Prior Approval when it is either saved or transmitted where any sedation treatment was present would assume it was the Operator who provided this, which could lead to incorrect submissions.

We have adjusted this validation to ensure the user is now prompted to specify if it was provided by them or another person when they provide the individuals name, we have also adjusted the question so it does no longer default to an answer to ensure the user provides it, this ensures accuracy in the transmitted request as the system is no longer assuming one state unless changed.

NHS Scotland – eDental Prior Approval Adjustment to Course of Treatment Restrictions for Examination, Radiograph, Study Cast & Photographs

Based on feedback received in the Beta Trial we have made changes to the enforced restrictions that governs what activity is allowed in a Course of Treatment where a Prior Approval is active, we will now allow completion of Examination, Radiograph, Study Casts and Photographic treatment items where a Prior Approval is still active.

We will however still include these treatments in the Prior Approval or any further submissions, this compromise balances the required needs of the user with the rules governing eDental Prior Approvals.

NHS Scotland – eDental Prior Approval Rejections due to missing Surfaces on Historic Fillings

An issue has been identified in the Beta Trade Trial affecting patients who have had filling treatments in the past which are now part of their Baseline Chart, this data is submitted as part of a Prior Approval and in some circumstances can be incomplete due to various changes to the treatment codes made over time.

To mitigate this issue, we have made changes so if the above treatment is found to be incomplete, we will transmit the basic tooth state instead, this ensures the minimum baseline information for a Prior Approval is still submitted for review and eliminate further rejections caused by any missing surface data going forwards.

NHS Scotland – Filling Treatment Codes 1412 and 1428 changed from being Tooth Specific to Surface based Treatments

Due to the validation rules applied to filling and inlay treatments for an eDental Prior Approval we have adjusted the following codes to now be surface based instead of Tooth Specific, this ensures we record surfaces where needed for any future Prior Approvals.
