These release notes describe the most important changes/fixes in version 6.2.1 of the CS R4+ software.
Where certain treatments have been provided to the patient we were encoding the claim with tooth information the eDental system did not expect to receive causing claim rejection error ”E000690 – A tooth surface must be specified if Annotation code is F or IN”. Any claims previously rejected due to this error should simply need to be resubmitted for processing.
We will deduce the expected NHS Type for the transmitted claim based on the claiming dentist being the registered dentist or not in CS R4+ however in some situations when the record has been changed this no longer matches the boards records resulting in a rejection (E000852), if a claim is rejected due to this drift between CS R4+ and the board he user can simply resubmit the claim changing the ‘Acceptance Type’ to allow the claim to match the boards records for processing.
Due to how claims are tracked in eDental per user if different users in CS R4+ have the same list number this can result in the board rejecting a claim thinking it’s a duplicate of a claim already received (E000509, E000510 or E000511 in this situation), we have made changes to ensure transmitted claims are seen as unique in this situation to ensure the claims are processed successfully.
If a claim submission was rejected and further submissions have taking place successfully the claim status would not be corrected even through the error has been removed giving the impression of more claims being rejected than maybe the case. We have corrected this so those claims that have been successfully transmitted for processing will now show as ‘Sent’ until reconciled.
In situations where a NHS Patient Search is made in Clinical Chart or as part of a CHI check request when transmitting claims and the user in question is not the claiming dentist this would result in Rejections (E000602). To help avoid this we have made a few adjustments as follows:
In Clinical Chart a search can only be undertaken where one accepted Course of Treatment is present and then will always use the Course owner.
Any search undertaken when sending claims will always use that Claims claiming dentist.
We have fixed the ‘Baby Born within the last 12 months’ exemption, under eDental this was not being applied correctly causing patients why were exempt suddenly gaining a patient charge.
Before a claim is transmitted we validate that the claim is correctly formed before transmitting, sometimes this can be wrong due to things like the address or post code being incorrect or missing, where this happens we will now display the error to the user to help self-correct.
We introduced a new column to show a claims DSR number however it had a side effect of causing the results to be come misaligned and hard to read, this has now been fixed.
We have addressed the problem where if an empty Reconciliation file is received by a site due to no schedules being processed yet the system will correctly prompt that there is no claims to update without an error.
In configurations where sites have multiple separate databases present and used from the same CS R4+ Server if one database became inaccessible then no further claims would be transmitted affecting sites located in other databases, this has now been addressed however If the inaccessible database comes back online it may require the Carestream R4 eDental Service to be restarted to connect back to that database.
We have adjusted the validation logic so when saving changes it no longer prompts twice if a patient’s CHI number is detected as invalid & also prompting where the value is the wrong length to allow a NHS Patient Search to take place to correct where required.
When a Scottish site upgrades to this version for the 1st time they have to undergo eDental migration, a weakness was identified with the board which could cause rejection messages 'Error 7030 – ERROR (technical): message source identifier (EPOC) incompatible with Organisation Code. Please contact the eDental help desk'. We have adjusted the migration process so the site number transmitted should now match the board’s expectation without any change to the end user.
We have addressed the problem where if a patient has an exemption then the exemption tab text conveys if an exemption is present or not, previously this was not updating to show this.
If a user undertakes a NHS Patient Search on a patient and a time-out error is received, if the user re-attempts the search a result may be returned which is hidden behind a blank Window, this has been corrected.
If a user undertakes a NHS Patient Search on a patient who has a hyphenated or had a hyphenated name present in their previous name field then NHS Patient Search would fail, we will now correct automatically to allow the search to take place without impacting the user.
An issue was identified where the process indicator of the search shown to the user was hidden on XP platforms meaning the user did not know if the search was progressing, this has been fixed.
As eDental only applies to Scotland any CS R4+ Site in other regions will not have the NHS Scotland ePharmacy adapter software installed the CS R4+ backup program however was still expecting the software database to always be present. This has been addressed so it only expected where eDental mode is activated so will no longer impact sites in other regions backup.
If a claim was being moved to deleted or from delete back to Not Ready to allow for further editing the system was still validating the claim prompting the user to do things they may not or may not yet have had the change to do, this has been corrected.
CS R4+ requires Microsoft Distributed Transaction coordinator to be configured and running the CS R4+ server to allow eDental claims to transmit if sent from any other location than the CS R4+ server itself, we will now do this automatically as part of the CS R4+ upgrade process to stop transmission failures in these situations.
Certain changes specific to eDental became visible for sites in Northern Ireland, this has now been corrected.
