Version 12.0 of the OrthoTrac software includes the following new features and enhancements:
OrthoTrac features a new look and feel that provides better feedback and interaction. For more information, see Navigating the User Interface.
OrthoTrac now archives and stores all closed daysheets, enabling you to view and print them. For more information, see Printing Archived Daysheets.
Charting includes several enhancements, such as the ability to save elastics configurations. For more information, see Elastics Configurations and Adding Elastics.
Additionally, when an existing elastic is removed from the Tooth Chart, it is no longer removed from the Elastics list. Instead, the (<date removed>) date is added to the list entry after the (<date placed>) date. For more information, see Removing Elastics.
You can also automatically load images on a detached tab of a patient's chart. For more information, see Charting Options.
You can now print a report card for oral hygiene. Click a previous Oral Hygiene code in a patient's chart to display a chart tracking the history of the patient's oral hygiene scores. For more information, see Ranking Oral Hygiene Codes and Using the OrthoTrac Charting Module Menu Bar.
You can now print a list of shortcut codes for predefined comments, enabling you to enter charting information more efficiently. For more information, see Predefined Comments.
You can now define the default font and font size for notes typed on the Notes tab. For more information, see Notes Font.
You can now exclude notes from printing on the Treatment History report. For more information, see Using the OrthoTrac Charting Module Menu Bar.
You can now detach the light bar and dock it on any side of the screen on a workstation. For more information, see Using the Light Bar. To enable this function, see Light Bar Options.
You can also call another doctor to a patient chair. For more information, see Using the Light Bar Menu.
For fast access to certain light bar functons, such as docking the light bar and viewing the Patient Flow graph, see Hints and Tips for Using the Light Bar.
In the Patient Flow report, you can now view the total time a doctor spent at the chair with each patient, categorized by shortest time, longest time, and average time. To use this feature, the stand-alone light bar must be enabled, with the Dr. Is Here and Dr. Is Finished options activated. For more information, see Suggested Patient Flow Reports.
In addition, certain settings now apply globally by default for the OrthoTrac Patient Flow Module. For more information, see Setting Up OrthoTrac Patient Flow Module Options.
If you change the roll date for a patient or a responsible party in the Financial Functions window, OrthoTrac now displays a message asking if you would like to update the due date for existing unposted autopayments. For more information, see Changing the Roll Date for Existing Auto Payments.
OrthoTrac now prompts you to delete pending auto payments from an account when the balance is adjusted to zero. For more information, see Removing Auto Payments on Zero Balance Accounts.
You can now display ledger information for a single patient's responsible party. For more information about the View by Single Account option, see Viewing the Ledger and Viewing Financial Functions in the Ledger.
You can now generate bulk statements and individual statements by either responsible party or by patient. For more information, see Generate Statements.
You can now type a specific auto payment card type, such as AMEX, in the description field. For more information, see Using Auto Payments.
You can now exit the checkout process when no transactions have been posted. For more information, see Checking Patients Out and Exiting Checkout.
Word processing and communication
OrthoTrac can now create patient tracking entries for questionnaires and save them as PDFs in document storage. For more information, see Enabling Patient Tracking for Questionnaires.
OrthoTrac can also save word processing letters as PDFs to document storage. For more information, see Saving Documents with the Document Storage Feature.
You can now review and edit letters before printing them from the Post and Print Letters window. For more information, see Posting Letters and Editing Letters.
OrthoTrac includes new insurance-related functionality. You can now import the details of an existing insurance carrier when adding a new carrier to the database. You will also find more detail on the insurance carrier screen when setting up a contract. For more information, see Adding Insurance Carrier Information.
You can now print ADA 2012 claim forms. For more information, see Changing a Claim and Setting Up Insurance Claim Options.
When printing envelopes, OrthoTrac now prompts you if you select a printer other than the current default printer. For more information, see Printing Stand-Alone Envelopes.
You can now select the label printer when printing labels for charting. For more information, see Patient Reports.
The Accounts Receivable report and the Daily Schedule — List Format report now include a symbol indicating that auto payments are active for a patient or responsible party. For more information, see Financial Reports and Schedule Reports.
In Patient Tracking, OrthoTrac now displays the name of the staff member who originally scheduled the appointment, or, when applicable, the name of the staff members who changed or cancelled the appointment. Completed appointment records display the name of the clerk who checked out the appointment. For more information, see Patient History, Charting Options, and Cancelling an Appointment.
When adding a responsible party to an existing patient record, you can now indicate that the patient is the responsible party. For more information, see Adding Responsible Parties and Linking Relatives.
