Performing Financial Functions
The Auto Payments feature enables you to enter credit card drafts, electronic bank drafts, or post-dated cheques to be posted at regular intervals in the future. MoreMore...
After you set up the auto payment information in the patients’ financial charts, the software can automatically post these payments to their financial ledgers on a daily basis.
After entering the information, you can run reports that project income for the practice. These figures are based on the auto payments scheduled to be posted in the future. If you offer automatic payment options to your patients, this feature can reduce the amount of work involved to keep your accounts up to date.
When you change the roll date for a patient or responsible party, OrthoTrac prompts you to change the date on all unposted auto payments to the same date. For more information, see Changing the Roll Date for Existing Auto Payments.
Auto payment options include:
Auto Bank DraftAuto Bank Draft
An electronic draft from the bank account of the responsible party into the bank account of the practice. This enables direct payment from the patient’s bank to your bank on an agreed-upon date each month without the patient having to write a check.
You can set up auto bank drafts in two ways:
Use the OrthoTrac electronic payment services. See Setting Up the ACH Service for more information.
Contact your local bank for the information and forms necessary to initiate automatic bank drafts.
Credit Card DraftCredit Card Draft
An agreement between the office and the patient or responsible party to draft a charge on the credit card of the patient/responsible party each month.
Post-Dated ChequesPost-Dated Cheques
The office holds post-dated cheques for the length of the contract. Each month a cheque is posted to the patient’s account on an agreed-upon date and deposited in the bank.
The Post-Dated Cheques option is intended for use in Canadian offices only.
Your hosted practice must manually export stored credit card account information and delete it from the OrthoTrac database to meet PCI compliance standards. You will need to run the PCI utility that is available in version 15.3.1 of OrthoTrac. See Exporting Stored Credit Card Data for more information.
