When cancelling appointments in R4+, select the reason for the cancellation from the Cancellation Type window:
Delete (Error) — Use this reason if the appointment has been created by mistake. The appointment is removed from the Planner, as well as the patient's record. Details of the deleted appointment can be found in the Audit Log.
Late Cancellation (Chargeable) — Use this reason if the patient has given insufficient notice of cancellation. The appointment is removed from the Planner, but remains in the patient's record. Details of the late cancelled appointment can be found in the Audit Log. You can also show late cancelled appointments in the Planner by selecting Options > Show Late Cancellations. By default, no charges are set for late cancelled appointments. To set a charge from the Main Menu, click Edit > Settings > System 1 > Financial Settings.
Cancelled (Non-Chargeable) — Use this reason if the patient has given sufficient notice of the cancellation. The appointment is removed from the Planner, but remains on the patient's record. Details of the cancelled appointment can be found in the Audit Log.
Postponed (By Dentist) — Use this reason when the practice needs to cancel the appointment. The appointment is removed from the Planner, but remains in the patient's record. Details of the postponed appointment can be found in the Audit Log.
Did Not Attend — Use this reason if the patient does not attend the appointment, and does not let the practice know why. The appointment remains in the Planner and on the patient's record. Details of the missed appointment can be found in the Audit Log.
Was Not Brought — Use this reason when children and vulnerable adults have not been brought to their appointment by their parent, guardian, care-giver, or responsible adult, and have not let the practice know the reason why. The appointment remains in the Planner and on the patient's record. Details of the missed appointment can be found in the Audit Log.
On Stand By — Use this reason if the appointment is to be placed on the Standby List and rescheduled. The appointment is removed from the Planner, as well as the patient's record. To access the Standby List from the Planner, select View > Standby List and then select Stand By under the Appointment List.
