Getting Started > Entering Accounts Receivable Balances
If your account balances reside in existing computer files, print the aged accounts receivable report that shows these balances. Be sure to include all accounts with any balance, either positive or negative, including those in collection or approved payment plans.
Determine whether you need to divide the balances between producers, or if they should all be entered under one of the doctors or the facility you set up. See Entering an Employees Name and Type.
To divide balances among producers:
Select Activities > Load starting balances from AR report. The Load Starting Balance Pick List is displayed. This is the same as the Person Pick List.
Begin typing the last name of the responsible party in the Find field at the bottom of the window.
Select the responsible party in the pick list, and click OK. The Load Balances from AR Report window is displayed.
Press Tab to move to the first aging field.
You can use 15 lines to enter starting balances. Use one line for each producer who gets credit for a portion of the total balance on this account. Divide the account balance into the appropriate amounts in each aging category for each producer. Use a separate line for each producer, and select the appropriate producer in the Producer column.
If the balance is a credit balance, enter all of it in the 0-29 column, and type a minus sign (-) before entering the amount.
The total from your report for this account should appear in the far right Total column, on the first line and at the bottom of the column.
Click OK.
Highlight the balance you entered on the printout you are using to indicate you have entered the balance.
To enter balances without dividing them among producers:
From the Activities menu, select Load starting balances from AR report. The Load Starting Balance Pick List is displayed.
This is the same as the Person Pick List.
Begin typing the last name of the responsible party in the Find field at the bottom of the window.
Select the responsible party in the pick list, and click OK. The Load Balances from AR Report window is displayed.
Press Tab to move to the first aging field.
Enter the amounts from your A/R report in the appropriate aging fields on the first line.
Do not use the other 14 lines; they are for offices that divide starting balances among their producers.
If the balance is a credit balance, enter all of it in the 0-29 column, and type a minus sign (-) before entering the amount.
The total from your report for this account should appear in the far right Total column, on the first line and at the bottom of the column.
Click OK.
Highlight the balance you entered on the printout you are using to indicate you have entered the balance.
