Configuring OrthoTrac > Setting Up the Schedule > Configuring Doctor Time
To set up Doctor Time for your office:
Select Functions > Maintenance/Set-up > Schedule Maintenance from the menu bar. The Schedule Maintenance window is displayed.
If your office is not currently using Doctor Time, the Doctor Time section displays 0 in the Doctor Units/Time Slot, and the Display: In Chair and Display: Totals fields are blank.
In the Doctor Units/Time Slot field, type the number of doctor units assigned to each time slot. In the Display fields, select In Chair to show the doctor units in the Chair column, and select Totals to show the doctor units in the Totals column.
This information is only visible when using the Zoom mode when scheduling.
In the Types section, click on an appointment type for which you want to assign Doctor Time and click Change. The Edit Appointment Type window is displayed.
Next to each unit of time in the appointment type is a small dash. Click on the dash in the time slot for which you want to allocate Doctor Time and type the number of Doctor Time units. Click OK to save your changes and return to the Schedule Maintenance window. Repeat steps 2 and 3 for all appointment types that you are using in your Doctor Time standards.
Click Add in the Standard section of the Schedule Maintenance window. The Create Standard window is displayed.
Complete the available fields. For more information, see Adding New Standards.
Click Apply. The system creates the standard, and the Schedule Maintenance window is displayed.
In the Standards section of the Schedule Maintenance window, select the new standard and click Change. The Change Standard window is displayed. For more information, see Changing Standards.
Confirm the options and click Apply.
If you selected Closed for All Time Units Created when you created the standard, click Change Pre-Blocks and select the time slots you want to reserve for an appointment type. The Appointment Types window is displayed.
Change the chair heading by clicking on the chair number and typing a new heading.
Select the appointment type for that chair and time slot and click OK. The appointment type is added to the standard.
Use the buttons at the bottom of the window to customize the standard. Click here to view a description of the buttons and their functions.
To block or open several time slots at once, click and drag from the starting time slot to the ending time slot. If you are changing appointment codes, only the slots affected by a single occurrence of the code change.
Add the rest of your appointment types to the Doctor Time standard. If you try to add an appointment type where the Doctor Time conflicts with existing Doctor Time, a message is displayed, indicating that the Doctor Time allocation is full.
From the Schedule Maintenance window, click Add Days and add your calendar days, choosing the new Doctor Time standard.
