Making a Contract/Plan Adjustment

The contract/plan adjustment feature enables you to reverse a roll charge or edit the patient’s contract. A list of all contract charges that have been rolled for the selected patient is displayed. Contract charges that have previously been adjusted are grayed out. Charges for payment arrangements that include a Per Visit charge or regular Monthly Fee charge are also displayed. Example

To adjust the contract:

  1. In the Contract Plan Adjustment window, if the monthly charge has rolled in, select the charge in the grid and click Rolled in Error. If the charge is not in the grid, it has not rolled in yet.

  2. Click Edit Contract or the Contracts and Payment Plans button to display the Contract window.

To adjust a contract or plan charge:

  1. Select the Contract/Plan Adjustment option button in the Financial Functions — Adjustments window. The contract/plan charges available for adjustment are displayed in the center of the Financial Functions — Adjustment window.

  2. Select the charge you want to adjust. A default comment is displayed in the Comment section, and the cursor moves to the end of this comment automatically. Add your own comment at the end, or select and replace the comment.

  3. Click Rolled in Error. The software displays a window giving the charge description and showing the responsible party or insurance account that is affected by the adjustment.

  4. Click OK to post the adjustment and update all accounts indicated in the window.

  5. When a contract charge is reversed, it is grayed out on the Financial Functions window, as well as in the ledger.

Contract charges that are adjusted after the charge due date are added to the last payment of the contract. Contract charges that are rolled and adjusted before the actual due date can be restored to their original due date.

If you click Cancel, the software does not post the adjustment and returns you to the Contract/Plan Adjustment section.

In addition to the Rolled in Error button, the Edit Contract button is available. Clicking Edit Contract takes you directly to the Contract window, where you can make changes to the remaining unrolled contract charges. See Setting Up Contracts and Payment Plans for more information.
