Configuring OrthoTrac > Using the eServices Setup Window > Setting Up the OrthoTrac Automated Statements Service
After selecting Carestream Dental as your automated statement provider, you must select transfer options, set up the office e-mail address, and configure responsible parties to receive automated statements before transmitting statements to the clearinghouse.
To configure statement transmission options for Carestream Dental:
Select Functions > Maintenance/Set-up > eServices Setup from the menu bar. The eServices Setup window is displayed.
From the Automated Statement Provider drop-down list, select Carestream Dental.
Click Configure. The EDI Utility - Web Enabled File Transfer Settings window is displayed.
Verify that the selected options correspond with the format you selected on your enrollment form. Click Test to test the connection.
Click OK to return to the eServices Setup window.
After selecting Carestream Dental as your automated statement provider, you must select credit card options. For more information, see the Stub Tab.
To set up the office e-mail address:
Select Functions > Maintenance/Set-up > System Maintenance from the menu bar. The System Maintenance window is displayed.
In the System Maintenance window, select Locations.
Select the location for which you need to configure the e-mail address and click Change. The Location Maintenance window is displayed.
Verify that the e-mail address is correct in the Office E-Mail Address field and click OK.
To receive statements, a person must be designated as financially responsible for an account. Statements are only sent to parties that are set as financially responsible.
To set responsible parties to receive automated statements:
In the patient chart, click the Patient Information icon. The Patient Information window is displayed.
Click Primary RP. The Responsible Party Information window is displayed.
If no responsible party is listed, see Adding Responsible Parties and Linking Relatives to add one.
Select Yes from the Financial Resp drop-down list.
Select Yes from the Receive Stmt drop-down list.
Select one of the following options for Stmt Delivery:
Online
Both
To use the Online option, a valid e-mail address must be present for the responsible party.
Click OK.
