Setting Scheduler Warnings

To dictate the warning and reminder messages displayed in the scheduler windows:

  1. Select System > Change System Settings > Scheduler. The Scheduler Settings window is displayed.

  2. Select Warnings from the Options section of the Express bar or from the Options menu. The Scheduler Warning Settings window is displayed.

  3. Type the number of days before which color scheduling warnings are disabled in the Daily Appointments and Book At A Glance windows in the Disable Color Scheduling warning period window. To fill last minute gaps in the schedule regardless of color parameters, without triggering color-mismatch warnings, type 1 in the field.

Example:

  1. To limit the number of appointments that can be scheduled for patients on medical assistance or capitation plans per day, type the maximum number of appointments in the Maximum number of Cap/Medicaid/PPO Appts Per Day Before Warning field. CAP is displayed in the Daily Appointments and Book At A Glance windows when this limit is reached.

  2. To display a warning before deleting the previous appointment cancelation in the Daily Appointments and Book At A Glance windows, select Display Warning before erasing previous cancellation.

When you cancel an appointment, the appointment information is temporarily stored to enable you to reschedule it or place it in the Tickler. If you cancel another appointment before rescheduling the appointment or placing it in the Tickler, the first appointment is deleted. When this checkbox is selected, a warning is displayed before the first appointment is deleted.

  1. To display a warning before scheduling a provider who does not meet the appointment’s requirements in the Daily Appointments and Book At A Glance windows, select Display warning if provider type is incorrect when scheduling.

Example:

  1. This warning is displayed only when the provider type is associated with the provider’s record and a scheduler template is associated with the procedure.

  1. To display a warning if the patient is inactive, select Display warning if patient is Inactive.

  2. To display a warning when an appointment is scheduled for a patient who has certain codes associated with his patient record, type the codes in the Display warning if patient has any of the following user codes: field. The default values for this field are C (collection), I (inactive patient), L (legal cases), W (medical assistance), and P (premedicate). See Understanding Patient User Codes.

  3. Click OK.
