Using PracticeToGo > PracticeToGo User Preferences
The PracticeToGo User Preferences Misc. tab contains choices that pertain to the kind of information included in the data transfer.
There are two options at the top of the window:
To select a specific sync date, click the drop-down arrow in the Last Sync on: field and select the date from the calendar.
Click the Restore Defaults button to restore system defaults for all PracticeToGo settings.
To set your PracticeToGo user preferences:
Select System > PracticeToGo > User Preferences. The PracticeToGo User Preferences window is displayed.
Click the Misc. tab. The PracticeToGo User Preferences Misc. tab is displayed.
Select from the following options:
Use extended phone information:Use extended phone information:
Select this option to include the additional contact information (telephone numbers, beeper numbers, and e-mail addresses) when you transfer a data record.
Codes on list line of appointments (Not patient):Codes on list line of appointments (Not patient):
Select this option to see the ADA or office code—instead of the patient name—in the appointment summary for information that is transferred during a sync.
Use office codes with appointments (Not ADA):Use office codes with appointments (Not ADA):
Select this option to see office codes—instead of ADA codes—displayed in the appointment information that is transferred during a sync.
Create Referred Patient List for Ref Drs:Create Referred Patient List for Ref Drs:
Select this option to create a referred patient list with the referring doctor information for ALL referring doctors. This means that a referred patient list for all the referring doctors in the SoftDent database will be transferred during a sync.
If you want to transfer a referred patient list for a particular referring doctor, do not select the Create Referred Patient List for Ref Drs option. Instead, select the Include Patients Referred With PracticeToGo Entry option in the referring doctor record for the doctor(s) you want to include. See Creating a Patient List for Individual Referring Doctors for more information.
Remove all PracticeToGo data on next sync:Remove all PracticeToGo data on next sync:
Select this option to remove all PracticeToGo data in the Microsoft Outlook software or in the Palm organizer during the next sync. No new data is brought over to these platforms during the next sync.
This option is automatically reset after the sync is completed so that future syncs will transfer data as normal.
You must have security rights to both patient and practice information to select this option.
Include Inactive Patients:Include Inactive Patients:
Select this option to include inactive patient records in the data transfer.
Include Patients with user codes:Include Patients with user codes:
Type patient user codes in this field to limit the number of patient records that transfer during a sync. If you enter a user code in this field, only patients with that user code are transferred.
Exclude patients with user codes:Exclude patients with user codes:
Type a user code in this field to limit the number of patient records that transfer during a sync.

Select this option to transfer data for all providers in the practice.
If you find that you are able to transfer data only for a single specific provider, the system administrator might have set this limitation in System Security.
Select this option to limit the patients transferred to the Microsoft Outlook software or the Palm organizer to only those with the specified Provider ID in the patient record. Select the provider you want in the Provider Options section on the right side of the window.
You must have security rights to both patient and practice information to make this setting. For more information about security settings, see Setting Security Rights in the SoftDent Software.
The patient list can become large. To find out approximately how much room the patient list will take up in the Palm OS platform or in the Microsoft Outlook software, click the Estimate button at the bottom of the Misc. tab. The estimated calculation takes into account the user preferences settings you have made to limit the patient list.
Click OK.
