To access the Recalls window from the Planner, click View and then select Recall Patients. When the Recalls window is displayed, several options can be selected, depending upon your requirements.
Select patients whose dentist/hygienist is — By default the All Users option is selected, but if you deselect this option, you can search for patients who are registered with a specific dentist or hygienist.
Display patients with or above priority — This enables you to search only for patients with a Normal or High Recall Priority setting on their patient record. By default, all patients are set to Normal Recall Priority, but this can be changed in the Patient Recall Details window.
At clinic — If you have a multi-clinic set-up, this option enables you to include only patients that are assigned to a specific clinic. By selecting the All Clinics option, you can include patients from all clinics.
Recall Status — These options are available:
Recall appt made, notification letter due — This option includes patients who have their recall appointment booked, and it generates a Notification message for the selected patients, which is in addition to appointment reminders.
Non-booked recalls, recall letter not sent — This option includes patients who are due a recall within a specified time period, but do not have a recall appointment booked. The recall message is generated for the selected patients.
Non-booked recalls, letter sent —This option includes patients who are due a recall within a specified time period and who do not have a recall appointment booked, but have already been sent a recall message. If this option is selected, you can specify how many days ago the recall message was sent. The reminder message is generated for the selected patients.
Display recalls up to the end of — You can select the month that the recalls are due by using the buttons to move backwards or forwards a month at a time.
Limit results to — Select this option and enter a number in the field to limit the results to a set period of months in the past. For example, if the limit results is set at 2 months and the recall date is set to Mar 2021, the results display all patients who are due a recall in March, February, and January. If this option is left deselected, all patients going back to the date that R4+ was installed who have not attended a recall appointment are displayed.
Show Docs Before Printing — All letters are displayed on the PC, allowing changes to be made or the letter to be deleted without being printed. Only letters are displayed, no emails or SMS messages.
Include Query — If you want to apply further restrictions to the patients that are included in the results, such as only NHS patients or only patients who are under 18, you can select the query from the list of existing queries by clicking the ellipsis button.
When all the relevant options have been configured, click Search to display a list of matching patients.
When the list is displayed, you can click on any of the header columns, such as Recall Appt, to sort the list.
If you want to send the recall message to all patients in the list, click Select All to highlight all patients and then click Send Recall Message.
If you want to send the message to specific patients, select the first patient and then holding down the left mouse button, drag the cursor down until all required patients are selected, or select the first patient and then holding down the Ctrl key, select each patient in turn until all required patients are selected. Then click Send Recall Message.
