Entering Appointment Information

Use the Appointment Information window to enter details about procedures in the treatment plan. When the time comes to schedule the appointment, this information helps you identify the best available time slots.

To enter appointment information from the treatment plan:

  1. From the Treatment Plan window, or Tx Plan tab, right-click the procedure for which you want to enter details. A pop-up menu is displayed.

  2. Select Appointment information. The Appointment Information window is displayed. The patient’s information is on the top left, and the list on the right shows all the procedures that are selected to occur during the same appointment.   1. Beneath the patient’s information, click Description to select the type of appointment from the pick list. The appropriate abbreviation is displayed, along with the correlating treatment class.

  1. To select a different Producer for this appointment, use the drop-down list in the Production area.

  2. Click the arrows to enter the number of Units and Minutes required for this appointment for Production and Non-production time. You can set units or minutes.

  3. Click Ins Est to view the Insurance Estimate calculated by the system based on the Patient’s insurance plan. If the patient does not have insurance, this button is inactive.

  4. Click Add/Edit Entry if you want to edit the procedures in the list.

  5. To remove a procedure from the list, select the procedure and click Remove Entry. You are prompted as to whether you want to defer this procedure to another appointment, or to remove it completely.

  6. Click Re-calculate to see the total cost of the appointment. The system enters it into the Est. production $ field at the top right of the window. Be sure to re-calculate after any adjustments to the appointment information.

  7. If lab work is required for this appointment, check Lab Case under Lab information. You can also check Lab case pending if necessary, and use the Select Lab button to indicate which lab is being used for this work.

When you have finished entering the preliminary information about this appointment, per the patient’s treatment plan, click OK. The appointment is saved, but not scheduled. See Scheduling Appointments for more information.
