Creating a Visit Charge Contract

The fields at the lower-right of the Procedure Code Maintenance Details window enable you to set up a procedure code that creates an open-ended visit charge contract and posts the first charge automatically. More...More...

The contract can be set to allow multiple visit charges per month or only one charge per month. The visit charge fee and description can be set to change after a specified number of charges.

To create a visit charge contract and post the first charge automatically:

  1. Select Functions > Maintenance/Set-up > Procedure Code Maintenance from the menu bar.

  2. Select the Create/Modify Visit Charge option.

  3. Type a description for the visit charge in the Description field.

  4. Type the amount of the visit charge in the Amount field.

  5. If you want to charge the patient only once a month, even if the patient makes multiple visits, select the Allow only 1 charge a month option.

  6. If you want to change the amount a patient is charged after paying a set number of charges, select the Set fee to __ after __ charges option and type the new fee and the number of charges in the fields.

  7. If you entered a new fee in the above field, the Description field is enabled. Type a new description for the new charge in the field. ExampleExample

    If retention treatment is not typically included in your contract fee, the Deliver Retainers procedure code can be set to create a retention visit charge contract and post the first charge when the patient checks out. You can set up the contract to have the fee automatically changed to a different amount after the patient has been in retainers for six months. If you need to change or delete the visit contract, make your changes in the Contracts window.
