Configuring OrthoTrac > Setting Up Procedures
To change a procedure code:
Select Functions > Maintenance/Set-up > Procedure Code Maintenance from the menu bar.
When you change a procedure code, several messages and windows are displayed.
If you make a change in the Charge Amount, Ins. Amount, or ADA Code fields and click OK, the Update Procedure Changes window is displayed. The Update Procedure Changes window includes the following options:
Select Update Coverage fields with changes to update the default fees assigned to procedure codes for your office with the new amounts.
Select Update Scheduled Appointments with New Amounts (Treatment Plans could be impacted) to update scheduled appointments with the new amounts.
Select Update Treatment Plan Templates with New Amounts to update the treatment plan templates with the new amounts.
Select Update uncompleted Patient Treatment Plan Steps that have not been Scheduled with New Amounts to update incomplete treatment plan steps that have not been scheduled.
You must use treatment planning to access the treatment plan update options.
Deselect options you do not want updated and click OK. A message is displayed, stating that you must exit the software for the changes to take effect.
Click OK, close the window, and restart the software, or select Options > Copy Database Files.
After making a change to any procedure code field, except Description, and clicking OK, a message is displayed, stating that you must exit the software for the change to take effect.
Click OK, close the window, and restart the software, or select Options > Copy Database Files.
When you change the Description of an existing procedure code and click the OK button to save and exit, the Change Procedure window is displayed.
Changing the procedure code description has the following effects on the software:
If you select Correct an error for the existing code,
The description for this procedure code is changed for all future ledger lines, but the existing ledger entries retain the original description for this procedure.
All Patient Tracking lines, past and future, display the new description.
Procedure monitors having this procedure on the Daysheet and MTD reports reflect the same counts and dollar amounts as though no change had been made.
The Ins. Desc. field, if blank, defaults to the new description.
If you select Create a new procedure with a new meaning to the system,
The new procedure has no effect on existing ledger or patient tracking lines.
When the new procedure code is posted, its description is displayed on both the ledger and Patient Tracking.
The original code becomes inactive in Procedure Maintenance and cannot be posted. If the original procedure is attached to an appointment type in Schedule Maintenance or to an existing appointment, a warning message alerts you that the inactive code cannot be posted. The new code is available to post.
The procedure monitors on the daysheet reports reflect the same counts and dollar amounts unless a change is made in Daysheet Setup > Monitors or the REMONIT utility is run.
The old code is automatically removed from Selected Procedures, but the new code is not added unless selected from the list of Available Procedures. If any change is made to the monitor in Daysheet Setup > Monitors or the REMONIT utility is run, any previous values for that procedure code are reset to zero.
