Configuring OrthoTrac > Setting Up OrthoTrac Patient Flow Module Options
To access display options:
Select Functions > Maintenance/Set-up > Patient Flow Options from the menu bar.
The selections on the Display Options tab are as follows:
Staff - PhotographicStaff - Photographic
Select this option to display a grid of patient names and photographs to staff members who move a patient to a new location by selecting the patient’s photo or name and dragging it to the new location. If enabled, the Change Patient Location window is displayed, and the staff member selects the location from the window.
Staff - Text BasedStaff - Text Based
Select this option to display a grid of patient names to staff members who move a patient to a new location by selecting the patient name and dragging it to the new location. If enabled, the Change Patient Location window is displayed, and the staff member selects the location from the window.
Patient - PhotographicPatient - Photographic
Select this option on the lobby check-in terminal to display patient photographs to patients who select their picture to check in.
Patient - Non-PhotographicPatient - Non-Photographic
Select this option on the lobby check-in terminal to display boxes labeled with each letter of the alphabet to patients who select the letter that corresponds to the first letter of their last name and then select their name from a list to check in.
Patient - Name EntryPatient - Name Entry
Select this option on the lobby check-in terminal to display boxes labeled with each letter of the alphabet to patients. Patients select the boxes to spell out their name, or a patient can type their name in the provided field to check in.
The patient display options lock patients out of all functions except checking into the lobby.
Choose BackgroundChoose Background
Use the Choose Background button to select the background color or picture that is displayed behind the Patient Flow Check-In window.
Click Choose Background. The Please Choose Your Background Image window is displayed.
To choose the background:
In the file section, navigate to the folder containing the picture you want to use as your background and double-click the folder. The files in the folder are displayed in the bottom pane. Select the file you want to use as your background.
In the Picture Display field, use the drop-down list to select how the picture should display on the screen.
Click Choose Color to display the Color window and select a background color. Click OK.
Click Apply to save your changes and keep the Please Choose Your Background Image window open, or click OK to save your changes and close the window.

Use the drop-down arrows to set how frequently the system refreshes displayed information.
This section contains instructions the patient sees on the check-in monitor for the three available check-in types. The instructions can be changed, depending on the type of display used. To change the instructions, select the existing instructions and type the replacement text.
Display Patients Starting fromDisplay Patients Starting from
This section determines when patients appear in the Patient Non-Photographic Check-In window if they have not checked in. It can be set to appointment times from The Current Time minus __ Minutes, or it can be set from The Beginning of the Day.
This feature depends on the setting chosen from the Patient Time Constraints section on the General Options tab; after a patient exceeds the No-Show criteria, he is instructed to see the receptionist. The Patient Photographic Check-In window also considers the No-Show criteria, but patients can click on the Earlier Appts button to check themselves in.
For the Staff - Photographic and Staff - Text Based windows, this field determines not only when patients display if they have not yet checked in, but also how long patients who Cancelled their appointment or who have already Gone will display.
After patients with a status of Not Here Yet, Cancelled, or Gone pass the 30-minute criteria, they no longer display in the current window but can be viewed by clicking Earlier Appts.
If the No-Show setting is less than The Current Time parameter, after a patient exceeds that criteria, he will not display in the current window.
Select this option to display large size photos in the Staff - Photographic and Patient - Photographic check-in windows.
