Adding a New Reminder Task

Standard Options

To add a new reminder task with the standard options:

  1. From the R4+ Task Scheduler window, click Add Task.  The Appointment Reminder window is displayed.

  2. Select the template from the For adult appointments use the template drop-down list.

  3. If you want to include reminders for group appointments, select For group appointments use the template and select the template from the drop-down list.

  4. If you want to include reminders for child appointments, select For child appointments use the template and select the template from the drop-down list.

  5. Select an option from the Appointment Date Range From drop-down list.

  6. Select an option from the Appointment Date Range To drop-down list, or select N/A if you do want to specify an end date.

  7. Select an option from the Reminder Type drop-down list.

  8. Select an option from the With Provider drop-down list, or select <All Providers> if you want to include all appointments booked with all providers.

  9. Select an option from the Booked drop-down list.

  10. Select an option from the Appt Type drop-down list, or select <All Appointments> to include all appointment types.

  11. Select an option from the Scheme drop-down list, or select <All Schemes> to include all scheme types.

  12. For multi-clinic sites, select an option from the Clinic drop-down list , or select <All Clinics> to include all clinics.

  13. If you want to include appointments outside of the normal clinic hours, select Include appointments scheduled in closed hours.

  14. Click Save.  The Save Task window is displayed.

  15. Enter a name for the new task in the Name field.

  16. Enter a description for the reminder task in the Description field (optional).

  17. If the task is to be saved but not scheduled, select Do not schedule this task.

  18. If the task is to be saved and scheduled, click Schedule this task.

  19. Enter the start time in the Start Time field.

  20. The time must be entered in the 24-hour clock format.

  1. Select the Recurrence Pattern.

  2. If you require a user to be notified when the task is run, select Notify a user with the results of the task each time it is run and select the user from the drop-down list.

  3. The notification is sent via the R4+ messaging system and appears inside R4+.

Advanced Options

To add a new reminder task with the advanced options:

  1. From the R4+ Task Scheduler window, click Add Task.  The Appointment Reminder window is displayed.

  2. Select the template from the For adult appointments use the template drop-down list.

  3. If you want to include reminders for group appointments, select For group appointments use the template and select the template from the drop-down list.

  4. If you want to include reminders for child appointments, select For child appointments use the template and select the template from the drop-down list.

  5. Select an option from the Appointment Date Range From drop-down list.

  6. Select an option from the Appointment Date Range To drop-down list, or select N/A if you do want to specify an end date.

  7. Select an option from the Reminder Type drop-down list.

  8. Select an option from the With Provider drop-down list, or select <All Providers> if you want to include all appointments booked with all providers.

  9. Select an option from the Booked drop-down list.

  10. Select an option from the Appt Type drop-down list, or select <All Appointments> to include all appointment types.

  11. Select an option from the Scheme drop-down list, or select <All Schemes> to include all scheme types.

  12. For multi-clinic sites, select an option from the Clinic drop-down list , or select <All Clinics> to include all clinics.

  13. If you want to include appointments outside of the normal clinic hours, select Include appointments scheduled in closed hours.

  14. Click Advanced Options >>.

  15. If you only want to send reminders for appointments over a specified duration, use the buttons to select the required Min Appt Length.

  16. To include appointments where reminders have already been sent, select Include Appts with sent reminders.

  17. To include patients whose preferred communication type is email, select Include patients whose preferred type is Email.

  18. If you want to include or exclude appointments that match a query, select Appointments matching query and click the ellipsis button.  The Select a Query window is displayed.

  19. Select the query and click Select.

  20. If you want to include or exclude patients who match a query, select Patients matching query and click the ellipsis button.  The Select a Query window is displayed.

  21. Select the query and click Select.

  22. To use the patient's FTA history, select Use FTA History.

  23. Select Include or Exclude as required.

  24. If required, select the number from the Patients who have missed at least drop-down list.

  25. If required, select the number from the appointment(s) in the last drop-down list.

  26. If you want to include or exclude patients with specific markers, click Add.  The Select A Marker window is displayed.

  27. Select the marker and click OK.

  28. Select Include or Exclude as required.

  29. Click Save.  The Save Task window is displayed.

  30. Enter a name for the new task in the Name field.

  31. Enter a description for the reminder task in the Description field (optional).

  32. If the task is to be saved but not scheduled, select Do not schedule this task.

  33. If the task is to be saved and scheduled, click Schedule this task.

  34. Enter the start time in the Start Time field.

  35. The time must be entered in the 24-hour clock format.

  1. Select the Recurrence Pattern.
