Before you can send automated statements to the PracticeWorks eServices clearinghouse, you must configure the software. To do this:
From the Windows Start menu, select All Programs > CS PracticeWorks > Configuration of CS PracticeWorks. The configuration utility is displayed.
From the Setup menu, select General Configuration. The General Configuration window is displayed.
Click the plus sign (+) next to Preferences, and Electronic Statements and then click Select Electronic Statements program.
In the Value field, use the drop-down list to select PracticeWorks Electronic Services, and click Save entry.
Click Close, but do not exit the configuration utility. Continue with the procedures in the following section.
To select the type of statement to use:
From the configuration utility, go to the Setup menu and select Automated Statements > Automated Statements Service. The E-Statement Service window is displayed.
In the Statement Type field, use the drop-down list to select the statement type that reflects the credit cards that are accepted by your practice, and then click OK.
Exit the configuration utility.
Electronic statement files are archived and available for re-transmittal. A button on the Statement Queue window enables you to re-transmit files that have already been sent.
To access the archived statement files:
From the File menu, select Print > Statements > View statement queue. The Select Submission Method window is displayed.
Select Submit Electronically and click OK. The Statement Queue window is displayed.
Click Archived Statements. The Archived Statement Files window is displayed.
Enter a date range for the files you want to retrieve. The files are displayed in the list, showing the Transmission Filename and the Original Transmit Date.
Select the file you want to send, and click Re-transmit.
The Archived Statement Files window also contains the following options:
Delete
Delete + 90 Days
Refresh List
Close
You can access the PracticeWorks eServices Reports window from the Statement Queue window by clicking View/Retrieve Reports.
A Statement Transmission Summary can be displayed and printed directly following a statement transmission.
The report contains the following information:
Date, statement count, and total page count of the entire batch
Responsible party name and amount due, and number of pages for each statement
You can also view, print, and delete this report from the PracticeWorks eServices Reports window. Under View File Types, select Statement Reports.
A button on the Statement Queue window enables you to preview a statement before sending it. Select the statement from the list, and click Preview contents. The statement preview opens in a separate window.
The following security measures have been put in place to guard against the fraudulent use of this feature:
Previewing statement requires a minimum security access level, and is logged in the security log.
Print button is disabled in preview window.
Office information and remittance box are omitted.
The warning “This is not a statement” appears in two places.
“Amount Due” box is displayed as “Would be Due.”
For the Preview functionality to work, a printer must be installed for the workstation and set up in the Configuration of PracticeWorks utility under Documents.
