Use Patients to search for a specific patient and to view demographic information, family details, referring doctors, treatment card data, and associated images.
The Patients window launches with the Pt field active. To look up a patient, type the patient name.
You can type either the first or the last name of the patient.
As you type, a list of patient names is displayed. For example, typing the letter A displays a list of all patients whose first or last name begins with that letter. Continue typing to narrow your results.
Select a patient's name. The Patient window is displayed.
The following options are available from the bottom of the Patient window:
The upper part of the Patient window includes the following information:
Age
Date of birth
Gender
Address
Home phone number
Work phone number
E-mail address
Status
Type
Location
Doctor
Assistant
The lower part of the Patient window includes the following information:
The Alerts field displays alert messages that are associated with a patient. If there
are alerts present for a patient, the Alerts field is outlined in red and displays
two alerts.
If there are more than two alerts associated with a patient, an arrow is displayed.
Tap the Alerts field to display a complete list of alerts.
The Appointments field displays the dates of the last completed appointment and the next appointment scheduled for the patient. Select the appointment field to view additional appointment information.
The expanded Appointment field displays six appointments with the following details:
Appointment date and timeAppointment date and time
If the appointment has been scheduled for the current calendar year, the date is displayed in Day/Month/Date format, such as Thu Oct 8. If the appointment occurred during the previous calendar year or before, the date is displayed in Month/Year format, such as Mar 2008.
Appointment typeAppointment type
The appointment is displayed with a brief summary describing the scheduled activity, such as Adjustment 20 min.

The icon to the left of the
listed appointment indicates its status. Click
the icon to view a description.

In addition to patient information, the Family view of the Patient window lists the names and relationships of people associated with a patient.
To view expanded information for a person in the list, select a name. The record is displayed with the following information:
Name
Relationship to the patient
Address
Home phone number
Work phone number
Balance
Current
This month
31-60 days outstanding
61-90 days outstanding
Over 90 days outstanding
Last statement date
Last statement balance
Last payment
Certain fields, such as financial aging data, are only displayed if the selected person is a Responsible Party.
If the patient has insurance, the insurance company name is displayed in the Family view.
To view expanded information for an insurance company, select the name of the company. The record is displayed with the following information:
Employer name
Insurance company name
Insurance company address
E-mail address
Balance
Current
This month
31-60 days outstanding
61-90 days outstanding
over 90 days outstanding
Last statement date
Last statement balance
Last claim
In addition to patient information, the Referrals view of the Patient window displays the referral information associated with the selected patient.
The Referral view displays the following information:
The Tx Card view of the Patient window displays the following information:
Treatment status bar
Start date
Estimated completion
Actual completion
Appliance information
The previous two Tx Card entries
The Tx Card view also includes a link to the patient's tooth chart and any associated notes.
To view this information, select Tooth Chart/Notes. The record is displayed with the following fields:
The Images view of the Patient window displays the following information:
Patient demographic information
A list of existing imaging visits and associated data
To display a list of images associated with an imaging visit, select that visit from the list.
To display an image full screen, select the image name from the list.
To return to the list of images, select the image again.
The icon for the active window is displayed in color. Inactive icons are grayed out.
The Patient window includes a Note icon. Adding a note in the PEARL module creates a comment in the patient chart. This message is displayed the next time you enter the patient chart in OrthoTrac.
To add a note to the patient's chart.
Select the Note icon. The Note field is displayed.
Type a comment in the Note field.
Select Done. The Patient window is displayed.
