Performing Staff and Security Functions > Using Staff Mail
To set up your e-mail options:
In the Staff Mail For User Name window, select View > Options. The OrthoTrac Mail Options window is displayed.
Select from the following optionsoptions.
Check for new messages every __ minute(s) — Select this option and type the desired number of minutes. The software checks for new mail sent to you at the specified time intervals. An envelope is displayed in the mail slot when you receive a new message. The maximum entry for this field is 60 minutes. If this field is not selected, no notification is given for new mail arriving; however, clicking on the Staff Mail icon enables you to see new mail.
Keep copy of sent items — Select this option to keep a copy of messages you send in the Sent Items folder. If this option is not selected, the software does not keep a copy of mail you send. After you select this option, mailed items remain in the Sent Items folder indefinitely unless you specify the number of days to keep mail with the Keep sent items for __ day(s) option.
Keep sent items for __ day(s) — Select this option and type the desired number of days (limit the number of days to 99 or less). The software automatically clears out the Sent Items folder after the specified number of days. For example, if you set this field to seven days, when you enter OrthoTrac Mail on the 8th day after a message was mailed, that message is no longer displayed in the Sent Items folder. This option is only available if you selected the Keep copy of sent items option.
Keep deleted items for __ day(s) — Select this option to have the software keep a copy of deleted messages for the specified number of days (limit the number of days to 99 or less). If this option is not selected, deleted items are kept in the Deleted Items folder indefinitely unless you select the Empty messages from the Deleted folder on exit option.
Empty messages from the Deleted folder on exit — Select this option to have the software remove all mail in the Deleted Items folder each time you close Staff Mail.
Click OK to save your changes, or click Cancel to close the window without making changes.
Close Staff Mail and open it again to apply your changes.
