Posting Auto Payments Using the Auto Payment Report

You can post the auto payments for your office by using the Auto Payment report. If you decide to use this method, you must post all auto payments for each month by the last day of that month, to ensure that the figures reported on the Daysheet MTD reports are accurate in comparison with Daily Daysheet figures.

Patients who have auto payment records set up in their accounts have a payment posted to their ledger and the daily daysheet report.

To post auto payments using the Auto Payment report:

  1. From the main menu, select Reports > Financial > Auto Payment > Post Auto Payments. The Post Auto-Payments window is displayed.

  2. Select Post Unauthorized Credit Cards only if the online service center is unavailable, and you need to credit patient accounts; for example, prior to running the roll.

  3. This option is available only if you are using the credit card service.

The Auto Payment report indicates if the card was processed online and includes the authorization number. The report footer indicates which cards have been processed.

  1. In the From Date and Thru Date fields, enter the dates. The From Date indicates the last date that auto payments have been posted through. The Thru Date defaults to the current date. If you enter a future date in the Thru Date field, a warning displays, asking you to verify the ending date.

  2. It is not recommended that you post auto payments for a future date; however, sometimes due to weekends or the office being closed, it may be necessary to do so.

Select Use today’s date when posting all transactions to use the current date.

  1. Select the option for the type of auto payment you want to post. You have the option to post checks, credit cards, unauthorized credit cards, bank drafts, and rejected bank drafts.

The Next dates on the right of the window indicate when each type of auto payment has an account scheduled to post again.

Select Post Unauthorized Credit Cards only if the online service center is unavailable, and you need to credit patient accounts; for example, prior to running the roll.

Select Post Rejected ACH Transactions only if the automated clearing house is unavailable, and you need to credit patient accounts; for example, prior to running a roll.

  1. Click OK to post the payments.
