To enter each patient charge:
In the Patient
Window, click . The Charge
Entry window is displayed.
If the patient has a treatment plan, the Treatment Visit Conversion for window is displayed. For more information, see Converting Treatment Visits to Charges.
Select the Charges tab.
In the Procedure
field, enter the procedure code and press the Tab
key, or click
to search for and select a code.
If procedure information is defined for the code, the following relevant fields are automatically populated when you press the Tab key. If not, you can enter the values manually. Some fields (Tooth, Surface, Unit) may require manual entry.
The Bill
to field is populated automatically with the patient's current
insurance policy. If there are multiple policies, you can click
to select a policy
and the billing order.
From the Meth drop-down list, select Paper or Electronic.
The Service Dates default to today; edit these fields if you are posting a charge for a different service date.
In the Tooth
field, enter the tooth number for the procedure, or click to select the tooth, quadrant,
or arch that corresponds to the treatment area and click
Ok.
From the Mod 1 drop-down list, select the primary modifier if it is relevant to the procedure.
In the Units field, type the number of units the procedure required, if more than one.
In the Charge Amt field, type the fee to charge for the procedure.
In the Patient Due field, type the portion of the fee owed by the patient. The remainder is automatically entered in the Insurance Due field.
To enter the charge, click Ok in the upper half of the Charge Entry window. The charge is displayed in the list below.
Continue adding procedures as needed.
If Insurance Estimating is set up for the patient's insurance plan, click the Estimate button at the bottom of the window. The Patient Due and Insurance Due amounts are calculated. When the estimation is successful, a green dot is displayed on the button. If there are errors, a red exclamation mark is displayed.
If an error message is returned
after clicking Estimate, click
the Fix Errors Note icon next
to the Estimate button to view details. Click next to an error to access the controls to correct
it.
The Insurance Estimating feature is available beginning with version 10.0.2 of the software. You will not see this functionality prior to updating to this version.
Verify that at least one code is displayed next to Diagnosis. If no diagnosis code is listed, or if you want to add or edit the codes associated with this charge, click Edit Dx. For more information, see Editing a Diagnosis on a Charge.
Click Ok. Depending on the options you selected on the Practice Preferences window when setting up your practice information, one of the following windows is displayed:
Payment/Adjustment Entry window
Exit Options window
Print Walkout Statement window
