Appointment Types and Categories

Define appointment types for each general type of service, and categories to group specific types. These types and categories help you to manage the resources and schedule for your practice, and are particularly helpful for use with template scheduling.

Appointment Types

Use the Appointment Type Search window to find, add, edit, delete, or print a list of appointment types. Use the Appointment Type Data Entry window to add or edit details for an appointment category.

To add an appointment type:

  1. Select Tables > Appointments > Type. The Appointment Type Search window is displayed.

  2. Click New. The Appointment Type Data Entry window is displayed.

  3. In the Code field, type a unique code and a description in the space provided. The code is displayed on the Appointment Scheduler.

  4. To indicate an appointment type as a lockout, select Lockout.

  5. From the Category list, select an appointment category.
    If the category you need is not in the list, click Add to display the Appointment Category Data Entry window.

  6. If using the point-of-care module, select a path description from the Path list.
    If the description you need is not in the list, click Add to display the Appointment Path Data Entry window, and create the path description.

  7. Enter the type of ticket used for the appointment type on the Tickets tab, or go to step 8.

  8. If you enter multiple ticket types, multiple tickets print. Both encounter tickets and narrative tickets can be selected.

To enter a ticket type, click here:

  1. From the EMR Type list, select one of the following: Consults, Surgeries, Post-Ops, Emergencies, Other.

  2. In the Defaults section, use the arrows in the Length ( mins) field to select a default length for the appointment.

  1. To enable scheduling of more than one appointment at the same time, select Allow Multiple Booking.

  2. If not selected, the word Reserved is displayed in other provider columns.

  1. To use the first column of a provider when scheduling, select Default to Primary Col.

  2. In the Chart Status section, select elements to track for this appointment type. These items are displayed in the EMR Chart Status as a checklist to complete the appointment.

  3. On the Overrides tab, click New to add provider override information. The Provider Overrides Appointment Code window is displayed. Or go to step 12.

To add provider override information, click here:

  1. Click  Ok  in the Appointment Type Data Entry window to save the appointment type.

  2. If you are using the WinOMS eReminders Service, you can click the eReminders Notes button to add an eReminders note to the appointment type.

Appointment Categories

Use the Appointment Category Search window to find, add, edit, delete, or print a list of appointment categories. Use the Appointment Category Data Entry window to add or edit details for an appointment category.

To add an appointment category:

  1. Select Tables > Appointments > Categories. The Appointment Category Search window is displayed.

  2. Click New. The Appointment Category Data Entry window is displayed.

  3. In the Code and Description fields, type an appointment category code and description.

  4. Click Cell Color to select the color of the cell to display on the Appointment Scheduler. The Color window is displayed.

  5. Select a color and click Ok.

  6. Because scheduled appointments are displayed as black text, a light cell color is recommended.

  1. In the Sample Cell field, type the text for the sample cell.

  2. Click Ok.

  3. You are prompted to confirm the deletion of a category.
