Managing Files and Backup Media

When managing the backup process, consider the following:

Files

The location of files varies according to your network setup. It is recommended that you use separate backup tapes for different applications.

Media Types

Depending on your system, there are many types of backup media available, including tapes, CD-ROMs, and internet-based services. Work with your hardware vendor to determine the best media type for your practice.

Backup Media Storage

Make sure you store your backups in a safe place. For all types of media, avoid excessive heat or moisture. Avoid magnets of any type; they can erase data. Always follow the manufacturer’s backup, storage, and replacement guidelines.

Note: It is recommended that you keep one or more backups off site. This should be your most recent backup and should be rotated on a daily basis.

Device Maintenance

Your backup device may need periodic maintenance. The manufacturer should provide you with the service requirements for the system. To ensure the most reliable performance of your backup system, follow the recommended service schedule.

Backup Media Replacement

Regular use of backup media eventually degrades the quality of the media. The more often backups are used, the quicker they degrade.

The only way to know if media is no longer functional is to attempt to restore data from it. By periodically replacing the media, you can avoid deterioration problems.

Follow the replacement schedule recommended by the media manufacturer. To keep track of the replacement dates, mark them on the disk or tape label for easy reference.

Data Restoration

A step-by-step restore process varies according to your system manufacturer. Be sure to validate your individual data restore plan to assure a prompt recovery of your business records, if necessary.

Note: It is recommended that you contact your hardware vendor or system administrator before attempting to restore data. Your office’s restore plan should include copying the current data before completing a restore.
