Entering Providers, Employers, and Schools > Handling Provider Information
The provider type is used to determine payment allocation and scheduling.
If you do not select a collections assignee and the new provider is a doctor, the doctor receives payment for any work performed. If the new provider is a hygienist, the patient’s default doctor receives payment.
To properly use color and goal scheduling, enter provider vacation days and office hours.
When Alternating Scheduling is enabled, the two schedules are rotated from week to week.
To add a new provider record:
Select List > Provider. The Provider List window is displayed.
Press Enter and click Add. The Provider window is displayed. The assigned provider identification number is displayed at the top of the window.
Type the provider’s last name, first name, middle name, title, and degree information.
Select the provider type and click OK.
Type the provider’s address and personal information.
On the Information tab, select the doctor to receive collections from the Assign Collections to drop-down list.
Select the doctor identification number to print on insurance forms as the billing (collecting) provider from the Dr on Insurance forms drop-down list. If you do not assign a provider, the patient’s doctor is printed on the forms.
Select the provider’s speciality from the Specialty drop-down list. This is used when submitting electronic claims.
Select the provider’s preferred assistant from the Assistant drop-down list.
When scheduling the provider for appointments requiring an assistant, the preferred assistant is automatically scheduled.
To set a default scheduling book, select the book from the Auto Sched Book drop-down list. If no book is selected, the user’s default Daybook is displayed when scheduling appointments.
To set an auto-scheduling book, select the book that contains the rooms and hours in which the provider wants to be scheduled from the Auto Sched Book drop-down list.
If the provider prefers to use a routing slip that is different from the office default form, type the form number in the Routing Slip field.
To find the form number, select System > Form Selection and select the Routing Slips drop-down list. Use the Modify Routing Slip Codes utility to create custom forms.
To use another business address instead of the practice address on all correspondence, type the business address in the fields.
To use this address as the default for this doctor, in the System Printing Preferences window, select Account Doctor from the drop-down list. For more information, see Selecting a Printer.
Type any notes in the Notes field.
Select the vacation date range to schedule for the provider from the Vacation/Days Off section.
Click ID’s or press Ctrl + Tab to display the ID’s tab.

To print the provider’s Social Security number on claim forms automatically:
Type the provider’s license, DEA regulation, anesthesia license, association, national provider ID, bank account, Medicaid, and insurance identification numbers. The provider’s license number is printed on claim forms.
The Delta field is reserved for provider state license numbers.
Click Current Hrs. or press Ctrl + Tab to display the Current Hrs. tab.
Type the provider’s office hours.
If the provider has different hours every other week, click Alternate Hrs., select Use Alternating Schedule, and type the alternate hour information.
Click OK.
