Adding New Patients/Accounts from the Daily Appointments or Book At A Glance Windows

You can add a new patient from the Daily Appointments and Book At A Glance scheduler windows when a new patient calls to schedule an appointment. When the patient arrives for the appointment, enter the remainder of the patient information and activate the new patient and account records.

To add a new patient from the Daily Appointments and Book At A Glance scheduler windows:

  2. In the Daily Appointments window:In the Daily Appointments window:Select a time slot, and select  New Patient Appt from the Options section of the Express bar or the Options menu.

  3. In the Book At A Glance window:In the Book At A Glance window:Select a time slot, and select New Patient Appt from the Options section of the Express bar or the Options menu.

The New Patient Appt window is displayed.

  1. Type the patient’s name and date of birth in the appropriate fields.

  2. Select a provider from the Doctor drop-down list.

  3. When adding a patient or account from this window, the software does not check for the correct provider type.

  1. Type the patient’s cell, home, and work phone numbers.

  2. If the new patient was referred to your office by an existing patient or another doctor, select the information from the drop-down lists in the Referral Info section.

  4. To schedule the patient for an initial exam:To schedule the patient for an initial exam:Select Initial Exam. The default initial exam procedural code information is displayed in the Code, Description, T#, Su/Qd, Fee, and Slots fields.

  1. To schedule the patient for an emergency exam:To schedule the patient for an emergency exam:Select Emergency Exam. The default emergency exam procedural code information is displayed in the Code, Description, T#, Su/Qd, Fee, and Slots fields.

  1. To schedule the patient for a different exam:To schedule the patient for a different exam:Select Other and select a procedural code from the Code drop-down list. The procedural code information is displayed in the Code, Description, T#, Su/Qd, Fee, and Slots fields.

  1. Type any notes in the Appt Notes field. These notes are displayed in the Appointment Card window.

  2. Type any medical alerts in the Medical Alert field. The patient is displayed in red text, and a red cross is displayed in the Alerts column in the Patient List window. Medical alert information is printed on the Daily Operatory schedule, routing slips, and the Patient Information report.

  3. To enter additional medical information or to edit the medical alert information, select Clinical Management > Patient Medical History from the Options menu section of the Express bar. For more information, see Adding Medical Histories and Updating Medical Histories.

  1. If you are adding the new patient to an existing account, select an account from the Add patient to an existing account drop-down list.

  2. To add or view additional account information, click Additional Account Info. For more information, see Setting Up Accounts.

  3. Click OK.

  4. The new appointment is displayed in the appropriate window. In the Daily Appointments window, a New icon is displayed next to the appointment. When a new patient is added via the Daily Appointments or Book At A Glance windows, the patient and account are not permanently saved to the database until they are activated. Patients and accounts that have not been activated are displayed in fuchsia in the Patient List and the Account List windows.
