Using the OrthoTrac Scheduling Module > Checking Patients Out
To post the procedures and payments resulting from a patient appointment:
In the Procedures section, type the procedure codes for this appointment or click Enter Code or Click Here for List to display the Procedures window, where you can select procedures to post.
When posting procedures, the software can prompt you for additional information, depending on how you set up your procedure codes. See Procedure Code Prompts for additional information.
Procedures that were performed today are automatically displayed if you are using the charting module or if procedures have been scheduled with the appointment.
You can enter a ledger comment by typing the comment in the Procedures section and pressing Tab. By default, a checkmark is placed in the Patient column, and an X is placed in the Insurance column. The checkmark indicates that the comment is displayed in the patient ledger, while the X indicates that the comment is not displayed. Click the checkmark to change it to an X, and vice versa.
Press the Tab or Enter key to move to the procedure Amount fields and change the amount(s), if necessary. You can split amounts between patient and insurance, provided a carrier has been assigned to the patient, by typing the amount or percentage (% or /).
Remove an incorrect charge by selecting the procedure and pressing Delete.
In the Payments field, select a payment type from the list, type a payment reference number, and type the payment amount. Type the patient portion and the insurance company portion, if applicable.
Current patient charges are automatically displayed in the Payment Amount field.
If a patient has multiple responsible parties and insurance carriers, a warning message prompts you, asking if you are sure you want to post the payment to this responsible party/carrier.
Click the Post Transactions button or press Enter when the Post Transactions button is selected to post the charges and payments you have entered.
Click Exit or press Enter when the Exit button is selected. The Appointment Summary window is displayed, enabling you to schedule the next appointment.
