Patient Numbering

The Patient Numbering option enables you to select how a patient number is assigned when you add a new patient to the system. Patient numbers can be six or eight digits long and cannot contain letters or other characters.

To access the Patient Numbering option:

Select Functions > Maintenance/Set-up > System Maintenance from the menu bar.
In the System Maintenance window, select the Patient Add Options option button.
In the Patient Add Options window, select the Patient Numbering option button.

There are three options for patient numbering:

Enter Number ManuallyEnter Number Manually

Select this option if you want to enter a patient number manually every time you add a patient. This option can be useful during conversion, when you are entering patients who already have existing patient numbers that you want to maintain.
Enter Number Manually - <Enter> Assigns Next NumberEnter Number Manually - <Enter> Assigns Next Number
Select this option to assign different patient numbering sequences to different doctors, locations, and so on. When you have finished adding a new patient and click OK, a window prompts you to select a numbering sequence.

To assign different patient numbering sequences:
1. In the Patient Numbering window, select the Enter Number Manually - <Enter> Assigns Next Number option button.
2. Double-click <Add New Sequence> in the selection box.
3. Type a description for the sequence (ExampleExampleSatellite Office, or Doctor Name) and press Enter.
4. In the Next Number field, type the beginning number for the patient numbering for this sequence. Patient numbers must be six or eight digits. If less, the number is padded with zeros in front of the selected numerals.
5. Add other sequences, if necessary, following the steps above.
6. Click OK to save your changes, or click Cancel to close without saving.
System Assigns NumberSystem Assigns Number
Select this option to automatically assign the next available patient number.

To automatically assign patient numbers:
1. In the Patient Numbering window, select the System Assigns Number option button.
2. Double-click <Add New Sequence> in the selection box.
3. Type a description for this sequence.
4. In the Next Number field, type the beginning number for this sequence.
5. Click OK to save your changes, or click Cancel to close without saving.
6. When you select this option, the system uses the first sequence displayed in the selection box, even if other sequences exist.
