Use billing categories to separate receivables into classifications and assign appropriate billing defaults.
You can separate receivables for collection patients or for patients belonging to a certain PPO. Use categories if you have a group of patients for whom you need to use an alternate fee schedule, not impose service charges, or not send statements.
Example: A patient who has standard commercial insurance coverage but who is ultimately responsible for paying the bill.
Use Practice Preferences to specify the default billing category assigned to new patients.
To add a billing category code:
Select Tables > Patients > Billing Categories. The Billing Category Search window is displayed.
Click New. The Billing Category Data Entry window is displayed.
Type a description for the new billing category code.
The code is automatically assigned by WinOMS.
In the Indicators section, select the indicators you want to apply to this category.
Select Use Default Dunning Messages to use the messages set up in the Practice Data Entry window, or type the dunning message specific to this billing category in one of the Dunning Message fields.
To override the checkout options on the System Defaults tab of the Practice Data Entry window, select Override Practice Charge Window Exit Options. This option removes the predefined options on the Charge window and enables you to select new options to use for the specified billing category.
In the Default Action field, use the drop-down list to select Print, Payment Wizard, or No Processing.
Select the Charge window exit options to use for the specified billing category:
Print Walkout Statement
Include Insurance Information
Include All Transactions
Process Walkout Automatically
Print Insurance Form
Process Insurance Automatically
Merge Letter
Click Ok. The Billing Indicators Update window is displayed.
Click Ok. A message is displayed, indicating that no patients are currently associated with this billing category.
Use the Billing Category Search window (Tables > Patients > Billing Categories) to select a category to edit or delete. Use the search feature, or click Display All to locate the category.
When you edit or delete a category, you are prompted to confirm the action.
