Setting Up a Report Manager Report

Setting up a report involves specifying the report criteria and output destination (screen, printer, file, and so on) in the Report Manager. Once a report has been set up, it can be added to any report group you want to create.

To create a report group:

  1. Select Reports > Report Manager > Set up a Report Group. A status window is displayed, giving a brief explanation of the Report Manager feature.

  2. Click OK. The Report Group Setup window is displayed.

  3. Type the name of the new report group and click OK. The Reports drop-down list is displayed. Note that Batch Select Mode is marked. This indicates that you are defining reports which will run as part of a batch and that you are still in the Report Manager feature.

  4. Select a report. The Output Options window is displayed. Verify that Printer is selected and click OK. The report setup window is displayed in batch mode.

  1. Type the information. Note that some reports such as accounting reports, recall/appointment reports, and practice management reports enable you to enter a date to determine what information is included in the report.

To avoid having to change the date each time one of these reports is run, use the following values in the date fields:

for the current run date

MM/01/YY

for the first day of the current month

MM/99/YY

through the last day of the current month

MM/-1/YY

from the previous day

MM/+1/YY

for the following day

+1/01/YY through +1/99/YY

(The monthly variable can be set up to nine months in advance.)

for the following month

(EXAMPLE: To include information for six months from now, enter +6/01/YY through +6/99/YY.)

-1/01/YY through -1/99/YY

(The monthly variable can be set up to nine months prior to the current date.)

for the previous month

(EXAMPLE: To include information that occurred three months ago, enter

-3/01/YY through -3/99/YY.)

 

Here are some examples of how you might set up your reports:

If the Daily Operatory Schedule is part of your daily batched reports,If the Daily Operatory Schedule is part of your daily batched reports,set the date to MM/+1/YY, since you want this report to print for the following day.

To run next month’s recall reports as part of a batch file,To run next month’s recall reports as part of a batch file,set the date range from +1/01/YY to +1/99/YY.

If you are running a Missed Appointments Report and need data from the previous day,If you are running a Missed Appointments Report and need data from the previous day,enter MM/-1/YY.

After providing the necessary information, click OK. The Report Output window is displayed.

  1. Type the number of copies you want to print and click Next.

  2. A message window is displayed, asking if you want to add another scheduled report to the group. If you select Yes, repeat Steps 4 through 6. If you select No, the Group Setup window is displayed.

  3. In the Frequency field, select Daily, Weekly, or Monthly from the drop-down list.

  4. In the Next Run field, click the arrow to display a calendar and select the date when the report group should run next (the field defaults to the current date), or type the date. The software automatically enters the day of the week. Click OK.
