Managing Patient Accounts > Using the Contact Experts
The Recall Contact Expert searches for patients who need a recall appointment and returns a list based on the criteria you select.
The primary uses for the Recall Contact Expert are to:
Call patients or family members of patients who are past due or coming due for a recall appointment, but do not have one scheduled. Run a Recall Contact Expert at least once a week to ensure these appointments get scheduled.
Send postcards to patients or family members of patients regarding their recall appointments.
To launch the Recall Contact Expert:
From the Experts menu, select Contact Experts > Recall. The criteria entry window is displayed.
Enter your search criteria for the following variables:
Characteristics of patient recall
Recall producer
Production owner
Date range of recall
What to include and exclude from the results
Click OK. After the search is complete, the Recall Contact Expert window is displayed.
When you select entries in the list, the bottom half of the window displays the details of the currently highlighted entry, and includes the following sections:
Patient information
Recall info
Account balance
Contact information
Click Actions to choose whether to apply the action to the entire list, or to the selected record.
Click Auto dial to access the on-screen dialer to phone the patient, or you can print a card to send the patient a reminder, or print labels for other types of mailings.
The buttons located within this section perform specific functions. For example, clicking the patient button will display the patient’s clipboard.
You can click Auto dial to access the on-screen dialer to phone the patient. When contacting the patient, click Make appt to schedule the appointment.
The Contact information area displays the date of the last contact for the selected patient. Click Contacted to record that contact has been made or attempted with the patient.
There are two rows of Print buttons at the bottom of the window.
Use the top row to change the status in the Print column, as follows:
Print this patient changes the status of the selected patient to Yes.
Don’t print this patient changes the status of the selected patient to No.
Print ALL patients changes the status of all patients whose recall due date falls within the specified month to Yes.
Print from here changes the status of the selected patient and all patients listed below this patient, whose recall due date falls within the specified month, to Yes. As well as changing the status of all patients listed above this patient to No.
Print no patients changes the status of all patients to No.
Use the bottom row to print recall cards, labels, and reports. The report displays all the patients in the list, but you can print postcards and labels only for patients whose Print status is Yes.
Most users set up all new patients with a six-month recall cycle. To set up your new patient default settings to reflect this, select File > Preferences > Recall Defaults.
