Statement Exception Report

Before printing statements, you should run the Statement Exception Report. This report creates a list of responsible parties set to receive a statement whose accounts contain missing or invalid data. You then use the report to correct the accounts.

To run the Statement Exception Report:

  1. From the main menu, select Reports > Financial > Statements > Statement Exception Report. The report begins running, and the Statement Exception Report window is displayed.

  2. Select an option to print the report, preview the report, or export the contents of the report, and use the report information to correct the accounts on the list.

  3. Use the OrthoTrac Patient Lookup window to search for the first responsible party name and open the patient chart.

  4. In the Patient Information window, double-click the responsible party name and correct the missing or erroneous data, generally the address or a part of the address.

  5. If the responsible party should not receive a statement, use the drop-down list to set the Recv Stmt field to No.

  1. Repeat the process for all names on the report.

  2. Re-run the Statement Exception Report to be sure that all errors have been corrected.

  3. Since this report can be extremely long and involve patients that are inactive or have no balance, you might want to skip this initial report. As you generate statements, an exception/error report is generated involving only those accounts that match the statement generation criteria. After generating and printing the batch, print the exception/error list, make any corrections to those accounts, and generate individual statements for responsible parties who did not receive a statement from the initial batch generation. Next month, these accounts should generate in the batch without error.
