Doctor Cross-Reference

The Doctor Cross-Reference function enables you to schedule a patient with the same doctor throughout the patient’s treatment. The feature also enables you to assign doctors to individual chairs in one schedule book, eliminating the need for multiple schedule books when you have several doctors in your practice. Example

Your practice is one large office with four orthodontists. You have six chairs in your practice, and Dr. One always treats her patients in chair six; Dr. Two treats his patients in chair five; Dr. Three treats her patients in chair four; and Dr. Four treats his patients in chair three. Chair two is the Records chair, and chair one is in the Consult room. Since chairs one and two are used for all patients, these chairs are designated for all doctors. Chairs three through six are assigned to the appropriate doctor.

Before you can begin setting up the Doctor Cross-Reference function, you must complete the following information.

Ensure that all doctors treating patients on your schedule are entered in the software and that their Staff Type is Doctor. See Adding Staff Members for more information.
In the patient charts, select the name of the orthodontist providing treatment in the Doctor field.
Ensure that schedule standards are set up.

After you have completed the above procedures:

Select Functions > Maintenance/Set-up > Schedule Maintenance from the menu bar.

In the Schedule Maintenance window, click Dr. Cross-Ref. The Doctor Cross-Reference dialog box is displayed.

Click Yes to continue. The Doctor Cross-Reference message window is displayed.

Click OK. All doctors are assigned to all chairs for all standards. The Doctor Cross-Reference window is displayed.

Click on a chair number option to select or deselect chairs assigned to the doctor. Click Select All or Deselect All to assist you in reserving chairs.

Regardless of the number of chairs your practice uses, 20 chairs are displayed in this window.

When you are finished selecting chairs for this doctor and this standard, use the drop-down list to select another doctor or standard. The Important dialog box is displayed, asking you if you want to save your changes. Click Yes.

Clicking OK in the Doctor Cross-Reference window closes the window and returns you to the Schedule Maintenance window. If you have made changes and not saved them, a message is displayed, asking if you want to save the changes before closing.

You can select the doctor and then set the assigned chair or chairs for each standard, clicking OK and then Yes to the Save question each time you change to a different standard. Or, you can select the standard and set the assigned chair or chairs for each doctor, clicking OK and then Yes to the Save question each time you change to a different doctor.

The Doctor Cross-Reference feature is not available for days added to the calendar prior to setting up the feature.
