Performing Financial Functions > Using the Financial Functions -- Charges and Payments Window
Patient account information is located below the patient information section. The information and fields displayed in this section depend on the financial function you are performing.
In the Procedures section, charges for procedures associated with scheduled appointments are automatically posted during checkout. You also use the Procedures section to manually post charges for procedures or products that are not included in the contract charge.
In the Payments section, payments are automatically posted against outstanding promises made by the responsible party. You also use the Payments section to manually post patient payments.
To the right of the Procedures and Payments sections are the Totals and Overview tabs. The Totals tab displays the account balance for the patient. At the top of the display is the total balance for the patient. Below the total balance are the patient portion, current balance, and aging for the selected responsible party. Below the responsible party balances are the combined balances for all insurance carriers associated with the patient. Any past-due amounts are displayed as white characters on a red background. Credit balances are displayed as red characters on a white background with a minus (-) sign in front of the credit amount.
The Overview tab gives a financial overview of the account. At the top of the display is the amount applied to the ledger at the next roll and the responsible party’s billing status and discount, if applicable. In the center of the display is the statement code, late charge amount, risk code, and roll day. At the bottom of the overview display is the date and amount of the last statement and payment made for the account. From the overview display you can change the statement code, late charge amount, risk code, and roll day. When you select the last statement date, an image of the last statement is displayed, enabling you to view statement history or generate a new statement, if needed.
The Auto Payment Information section below the Payments section is displayed when the Cheques/Drafts option is selected from the View menu. This section shows the total number of payments, the date the next payment is to be posted, and when the last payment is scheduled to be posted.
The patient’s date of birth, age, and gender are displayed at the bottom of the window.
